At Inkaland Treks, our mission is to provide safe, professional, and unforgettable trekking and mountaineering experiences in the Peruvian Andes. The following Booking Terms & Cancellation Policy has been established to ensure transparency, protect both our guests and our operational team, and clearly define the responsibilities of each party.

By submitting a booking request and confirming your reservation with Inkaland Treks, you acknowledge that you have read, understood, and accepted these Booking Terms & Cancellation Policy.

1. Booking confirmation

A reservation is considered confirmed only after Inkaland Treks has received:

  • A completed Booking Form.
  • A copy of each participant’s passport.
  • The required booking deposit.

Once these requirements have been fulfilled and the reservation has been accepted by Inkaland Treks, an official Booking Confirmation will be sent by email.

2. Booking deposit

A 40% booking deposit is required to secure your reservation.

This deposit enables Inkaland Treks to begin organizing your expedition, including:

  • Reservation of certified mountain guides
  • Staff scheduling
  • Transportation arrangements
  • Muleteers and pack animals
  • Camping equipment
  • Community fees and permits
  • Operational logistics
  • Administrative coordination

Once the reservation has been confirmed by Inkaland Treks and operational planning has commenced, the booking deposit becomes non-refundable.

3. Final payment

The remaining 60% balance must be paid no later than 30 days before the scheduled departure date.

Reservations made within 30 days of departure require full payment (100%) at the time of booking.

If the final balance is not received by the due date, Inkaland Treks reserves the right to cancel the reservation and retain the booking deposit.

Payment Methods

Payments may be made through one of the following methods:

  • Bank Transfer
  • Secure Payment Link provided directly by Inkaland Treks (a 5% bank processing fee applies to card payments).

At this time, Inkaland Treks does not accept direct online payments through the website.

After receiving the Booking Form, our Reservations Team will contact the client by email or WhatsApp with the appropriate payment instructions.

4. Cancellation policy

Due to the nature of multi-day trekking expeditions, significant operational costs are incurred well before departure.

The following cancellation policy applies:

More than 60 days before departure

  • The booking deposit is non-refundable.
  • Any recoverable payments made to third-party suppliers will be refunded whenever applicable.

Between 30 and 59 days before departure

  • 50% of the total program cost is refundable.
  • Any unrecoverable third-party expenses will be deducted.

Less than 30 days before departure

No refund will be issued.

By this stage, Inkaland Treks has already confirmed and paid for operational services including:

  • Certified mountain guides
  • Professional cooks
  • Muleteers
  • Pack animals
  • Emergency horse
  • Private transportation
  • Camping equipment
  • Food supplies
  • Community fees
  • Logistics personnel

These services cannot be cancelled without financial loss.

5. Changes to reservation

One departure date change may be requested without an administrative fee if the request is received more than 60 days before departure, subject to availability.

Additional changes may incur administrative charges.

Changes requested within 30 days of departure cannot be guaranteed.

6. Medical conditions & Altitude

Participants are responsible for ensuring that they are physically fit for high-altitude trekking.

If a participant decides not to begin the expedition due to:

  • Altitude sickness
  • Medical reasons
  • Personal circumstances
  • Flight delays
  • Visa issues
  • Family emergencies

the standard Cancellation Policy will apply.

For this reason, Inkaland Treks strongly recommends purchasing comprehensive travel insurance.

7. During the expedition

If a participant voluntarily leaves the expedition after it has begun, no refund will be provided for any unused services.

If evacuation becomes necessary due to illness or injury, evacuation costs not specifically included in the itinerary remain the participant’s responsibility unless covered by their travel insurance.

8. No show policy

No refunds, credits or future travel vouchers will be granted in the event of:

  • Failure to arrive
  • Late arrival
  • Missed departure
  • Voluntary withdrawal
  • Unused services
  • Early departure

9. Travel insurance

Comprehensive travel insurance is strongly recommended for all participants.

Your policy should include coverage for:

  • Trip cancellation
  • Trip interruption
  • High-altitude trekking
  • Medical expenses
  • Emergency evacuation
  • Repatriation
  • Lost baggage
  • Personal liability

Participants are solely responsible for ensuring that their insurance provides adequate coverage for the activities included in their itinerary.

10. Client responsibilities

Participants agree to:

  • Provide accurate personal and medical information.
  • Inform Inkaland Treks of any relevant medical conditions before departure.
  • Follow all instructions given by the expedition leader and mountain guide.
  • Respect local communities and environmental regulations.
  • Carry all mandatory personal equipment.
  • Behave responsibly throughout the expedition.

Inkaland Treks reserves the right to remove any participant whose behavior places themselves, other participants, staff, or the success of the expedition at risk.

No refund will be provided under these circumstances.

11. Itinerary changes

Mountain environments are unpredictable.

Inkaland Treks reserves the right to modify itineraries whenever necessary due to:

  • Weather conditions
  • Landslides
  • Road closures
  • Trail conditions
  • Community restrictions
  • Government regulations
  • Safety concerns
  • Natural disasters
  • Any circumstance beyond our reasonable control

Any changes will always be made with the safety of participants as the highest priority.

12. Force majeure

Inkaland Treks shall not be liable for delays, cancellations, or modifications caused by circumstances beyond our reasonable control, including but not limited to:

  • Extreme weather
  • Earthquakes
  • Floods
  • Landslides
  • Pandemics
  • Government restrictions
  • Political unrest
  • Strikes
  • Community conflicts
  • Transportation disruptions

Refunds or credits in these situations will depend solely on the recoverability of payments already made to third-party suppliers.

13. Liability

While Inkaland Treks takes every reasonable precaution to ensure the safety of its guests, trekking, mountaineering and other adventure activities involve inherent risks.

By participating in our programs, clients acknowledge these risks and accept personal responsibility for their participation.

Inkaland Treks shall not be held liable for:

  • Personal injury
  • Illness
  • Loss, theft or damage of personal belongings
  • Delays caused by third parties
  • Circumstances beyond our reasonable control

except where required by applicable law.

14. Governing law

These Booking Terms & Cancellation Policy shall be governed by the laws of the Republic of Peru.

Any dispute arising from these Terms shall be subject to the jurisdiction of the competent courts of Peru.

15. Acceptance of Terms

By submitting the Booking Form and subsequently completing the required deposit payment through the payment instructions provided directly by Inkaland Treks, the Client confirms that they have read, understood and accepted these Booking Terms & Cancellation Policy in their entirety.

The Client further acknowledges that:

  • The Booking Form and the deposit payment constitute formal acceptance of these Terms & Conditions.
  • Inkaland Treks is authorized to begin all operational planning related to the expedition, including reservations of guides, transportation, logistics, permits, equipment and support staff.
  • The Client understands and accepts the payment schedule, cancellation policy and operational procedures described in this document.
