Booking Terms & Cancellation Policy
At Inkaland Treks, we believe that clear and transparent policies are an essential part of a professional adventure travel experience. The following Booking Terms & Cancellation Policy is designed to protect both our clients and our operations, while allowing us to secure staff, logistics, permits, community services, and third-party suppliers in advance.
By confirming a reservation and making a payment, the client acknowledges that they have read, understood, and accepted the terms outlined below.

1. Types of Reservations
Inkaland Treks operates two main types of reservations, each with specific conditions:
A. Trekking, Climbing & Day Hikes (Land Services)
This category includes:
- Multi-day trekking programs
- Mountaineering and climbing programs
- Day hikes and acclimatization hikes
- Mountain logistics, professional staff, transport, equipment, permits, and community fees
B. Full Travel Packages
This category includes any program that combines trekking or guiding services with:
- Hotels
- Domestic flights (e.g. Lima–Huaraz, Lima–Cusco)
- Bus tickets
- Transfers
- Day hikes or additional services added to a main program
Different payment and cancellation conditions apply to each category.
2. Booking Confirmation & Deposit
Trekking, Climbing & Day Hikes (Land Services)
- A reservation is considered confirmed once a 40% deposit is received.
- The deposit is non-refundable, as it is used to secure guides, cooks, muleteers, transport, equipment, permits, and community services.
Full Travel Packages
- A 40% non-refundable deposit applies to Inkaland Treks services (guiding, trekking, logistics).
- Third-party services (hotels, flights, buses, special logistics) must be paid in full at the time of booking, according to supplier requirements.
3. Final Balance Payment
- The remaining balance is due 30 days before the departure date.
- If a client cancels before the final balance becomes due, the remaining balance will not be charged.
- Failure to complete the final payment by the due date may result in cancellation of the reservation.

4. Cancellation by the Client – Join a Group Departures
For confirmed Join-a-Group departures:

- The deposit is non-refundable.
- When possible, the deposit may be transferred to another available departure within the same season (April–September), subject to availability and written notice at least 30 days before departure.
- Transfers are not guaranteed and depend on logistics, staff availability, and confirmed departures.
- No transfer or credit is possible for cancellations made less than 30 days before departure.
5. Cancellation by the Client – Private & Customized Trips
For private or tailor-made programs:
- The deposit is non-refundable.
- Some services already paid to third parties (hotels, flights, transport) may be non-recoverable.
- Whenever possible, Inkaland Treks will make every reasonable effort to:
- Minimize losses, and
- Apply credits toward a future trip, subject to supplier policies.
6. Flights, Hotels & Third-Party Services (Important)
For programs that include flights, hotels, or other third-party services:
- Domestic flights are paid 100% at the time of issuance and are subject to the airline’s cancellation and change policies.
- Hotels and accommodation are subject to the individual cancellation policies of each property.
- Some hotels and flights may be non-refundable or non-changeable, especially during high season.
- Inkaland Treks cannot assume responsibility for penalties or losses imposed by airlines, hotels, or transport companies.
Clients will always be informed of these conditions before booking and payment.
7. Cancellation or Modification by Inkaland Treks
Inkaland Treks reserves the right to cancel or modify a trip due to circumstances beyond our control, including but not limited to:
- Extreme weather conditions
- Safety concerns
- Natural disasters
- Government or community restrictions
- Force majeure events
In such cases, clients will be offered:
- A full refund of payments made, or
- A credit toward a future departure, according to the client’s preference and practical feasibility.
8. Travel Insurance (Strongly Recommended)
We strongly recommend that all clients purchase comprehensive travel insurance covering:
- Trip cancellation or interruption
- Medical expenses
- Emergency evacuation
- High-altitude trekking and mountaineering activities
Travel insurance is standard practice for adventure travel worldwide and provides essential protection for unforeseen situations.
9. Acceptance of Terms
By confirming a reservation and making a payment, the client confirms that they have read, understood, and accepted Inkaland Treks’ Booking Terms & Cancellation Policy.
